Lions Camp Horizon Rental Contract

Please complete this form with as much information as possible. All information can be changed/updated once your rental is finalized. We will reach out with a finalized quote and details. Please email admin@lionscamphorizon.org with any questions.

Note: If you will be serving alcohol a Banquet Permit is required from the Washington State Liquor Board.  This permit must be provided at check-in and posted at all times.


Insurance Requirement for overnight or long term rentals.  May not apply to day rentals.

User Liability – The user is responsible for providing us with a copy of the groups Certificate of Liability Insurance, with Camp Horizon Foundation named as co-insured for the contracted use period.  


Proof of event insurance will be required.  Please contact us for more information.


Lions Camp Horizon at Bay Horizon Park is owned by Whatcom County, managed and operated by the Lions Camp Horizon Foundation and is the home of Lions Camp Horizon. 

Conditions and Campus Rules

Deposit: Down payment and security deposit is due at the time your reservation is confirmed to hold the date.  The security deposit is $75 for day rentals and $250 for overnight rentals. The downpayment amount is based on the rental total. ($50-$500) An invoice will be emailed to the billing contact for review and payment instructions.  

  • The security deposit will be returned to you within 15 days upon satisfactory surrender of the facility and all keys.  Cleaning or repair/replacement costs will be billed at a $50 minimum plus $50/hour or actual repair/replacement costs if it exceeds the deposit amount. A separate check payable to Lions Camp Horizon is preferred.  

Payment in full (in U.S. funds) is expected prior to arrival for the use period.  Make checks payable to the Camp Horizon Foundation.  The cleaning/damage deposit will be refunded within 15 days of satisfactory surrender of the facilities and return of all keys less any cleaning charges ($50.00 minimum plus $30.00 per hour) and/or actual repair/replacement/labor costs for damage of the facilities during your stay. 

Cancellation policy – The down payment will be refunded less a $50 minimum or 10% of the anticipated total rental cost, whichever is greater, if use is cancelled 30 days or more prior to the planned arrival date.  There will be no refund of the down payment if use is cancelled 29 days or less prior to scheduled arrival. 

Winter Policy – If your rental occurs during a period of freezing temperatures, it may not be possible to make the building(s) you are renting available due to the risk of frozen plumbing.  In that case we will gladly reschedule your event or provide a full refund.  

Clean up – No janitorial service is provided.  Users of the facilities are expected to maintain the facilities in a clean, safe and sanitary condition at all times and to leave the facilities in as good a condition as you would like to find them on your next visit.  Cleaning supplies are provided.  Contact the rental representative or their designee should you need additional supplies or have any questions.

Check-in – Please arrive at the time agreed.  A fee of $50/hr will be taken from the deposit for each hour check-in/check-out is delayed.  

 

Campus Rules 

A pre-rental checklist and a post-rental checklist will be sent prior to your arrival for review, and will be provided to you at check in.  Rental point of contact is expected to go over the rules, checklist and safety precautions with their group upon arrival for their event.  

  • Maximum occupancy limits must be followed
  • No animals/pets in the facilities without previous approval. (Service animals are allowed)
  • No smoking in the facilities
  • Minors (under 18 years of age) must be accompanied by an adult at all times
  • All furniture, tables, chairs, equipment, etc. cannot be removed from the buildings and must be returned to their original check-in location prior to checkout
  • Do not use thumbtacks, staples or tape to hang decorations or signs.  Any items put up must be removed including string, clips, etc. that are used to attach them
  • Confetti, silly string, chalk/paint are not permitted inside or out 
  • If you will be serving alcohol a banquet permit is required from the Washington State Liquor Board website. This permit must be provided at check-in and posted at all times
  • Please park in designated parking areas.  Please follow all speed and traffic rules.  You are responsible for your vehicles and belongings
  • All garbage must be removed from the buildings prior to check-out and placed in our dumpsters

Renters are required to conduct their activities in accordance with all federal, state and local laws, ordinances, regulations, permits and codes.  All fire and safety regulations posted in the buildings must be complied with.  

  • If you will be serving alcohol a banquet permit is required from the Washington State Liquor Board. This permit must be provided at check-in and posted in event space
  • Use of the commercial kitchen requires a valid Washington State Food Handlers Permit.  This must be posted in the kitchen
  • Renter assumes all liability for any injuries, damages, or losses during the rental period. Proof of Liability insurance must be provided prior to rental date with Camp Horizon Foundation listed as co-insured. (This may not apply to short term day rentals) 

 

Hold Harmless Agreement

The undersigned agrees and covenants to indemnify, defend and save harmless Camp Horizon Foundation, Whatcom County and those persons who were, now are, or shall be duly elected or appointed officers, officials or employees thereof (herein referred to as “Foundation” and “Whatcom County”), against and from any loss, damage, costs charge, expense, liability, claims, demands or judgments, of whatsoever kind or nature, whether to persons or property, arising wholly or partially out of any act, action, neglect, omission or default on the part of the undersigned, except such injury or damage as shall have been caused by or resulted from the sole negligence of Foundation and/or Whatcom County.  In case any suit or cause of action shall be brought against Foundation or Whatcom County because any act, action neglect, omission or default on the part of the undersigned, his agents, and/or employees, the undersigned hereby agrees and covenants to assume the defense thereof and to pay all costs, charges, attorneys fees and other expenses and all judgments that may be incurred or obtained against Foundation and/or Whatcom County.

The Foundation also reserves the right to accept or reject any application, and/or ask for additional details on the intended use of facilities. Judgment on acceptance or rejection is absolute and final.
